Terms of Reference

Purpose

Established by the Vice President Academic and Provost (VPAC) to provide financial support to Teaching-Stream Faculty to participate in a range of professional development activities related to scholarly activity and the enhancement of learning and teaching including, but not limited to, presenting or attending academic and/or professional conferences and engaging in scholarly work.

Administration of the fund

The Division of Learning and Teaching Support and Innovation (LTSI), will administer the fund on behalf of VPAC in accordance with the eligibility criteria and procedures set out in these terms of reference.

Funding amounts

Each eligible applicant may typically hold only one grant in a single fiscal year (April 1 to March 31), to a maximum of $1,500. The date of tenure of the grant is determined based on the first day of the eligible activity. Funding is available for up to a maximum of $1,500 if the applicant is presenting a paper, or is a panel discussant, or contributing significantly in other documented ways at a professional development event. The maximum for attending a professional development event and for other activities is $750.

General Guidelines

Employment eligibility

The applicant must currently hold a regular appointment as an Assistant, Associate, or Teaching Professor at UVic. Those holding limited term appointments are not eligible.

Professional development eligibility

Academic conferences, academic institutes, professional courses and workshops or seminars that address scholarly activity and the enhancement of learning and teaching. Support for other activities related to the purpose of the fund will also be considered. Applicants who have not received funding in the past year will be given priority.

Eligible expenses

Only direct costs related to travel and attendance at the event are eligible:

  • Course or conference registration fees;
  • Professional organization membership fees associated with attendance at the event;
  • Material costs associated with the event (e.g., creating a conference poster);
  • Travel (see note below regarding virtual attendance);
  • Accommodation at standard room rates; and,
  • Meals while attending the event up to UVic per diem rates (excluding alcohol).

Note: Given the work that is currently underway in relation to UVic’s Climate and Sustainability Action Plan (CSAP) and UVic’s commitment to UN’s “Race to Zero” pledge, funding priority will be given to those applications requesting supports for virtual event participation. If virtual attendance is an event option and you are requesting funds to travel to attend in-person, applicants are asked to provide a rationale for the need for face-to-face attendance.

Ineligible expenses

  • Travel to UVic or within Greater Victoria;
  • Tuition in an academic program; and,
  • Equipment Purchasing (including technology).

Criteria for selection (used by committee)

  1. The content included in the application clearly indicates how the professional development
    activity will:

    • Contribute towards the applicant’s scholarly development.
  1. The application fits into the concept of scholarship of learning and teaching or scholarly teaching in the discipline.
  2. The budget information is complete and meets the eligibility requirements.
  3. Priority will be given to those applicants who have not received funding in the past year, and to those who are requesting funding related to virtual attendance.

Applications that are incomplete or do not meet the eligible expenses will not be considered.
